We are urgently seeking a very special person to work as an office assistant for our prestigious client based in West Perth. Specifically we are looking for someone who can initially work part time (23 hours per week) with a view to working full time after a few months. Flexibility with this is essential in this role. Your duties will include: Reception duties including greeting guests , answering phone and email enquiries , picking up , sorting and distributing incoming mail , outgoing mail drop off , stocking photocopiers and printers with paper , displaying and filing reception reading material , booking couriers , maintaining company and office booking calendars. Maintain a clean kitchen during the business day including stacking and unstacking the dishwasher and stocking the fridge and cup boards as required , keeping coffee machine clean and in good working order. Provide general administrative assistance to all staff as required including travel and booking arrangements , typing and formatting of documents , data entry , filing , business credit card reconciliation , uploading announcements and media to website and maintaining company contact list and administration manual. Organise office events/catering as required e.g. birthday cakes. Purchase office supplies as required and ensure they are in good working order. Assist Company Secretary with preparation for Board Meetings (approx. 10 times per year) including preparation of board papers. Change back drives and remove last backup from site overnight and return in the morning (every day). Maintain office security access and act as first point of contact for building manager and also for vendors for maintenance of office equipment. Monitor company IT issues/requirements and their resolutions in conjunction with the outsourced IT provider along with the maintenance of the company's IT database.
